POD (Proof of Delivery): faster invoicing and fewer delivery disputes

What proof of delivery should contain, how to handle missing signatures and delivery changes, and how to organise document checks in 24 or 48 hours.

Unloading is complete, but a legible delivery acknowledgement is missing. Accounting asks for the document, the dispatcher tries to reach the driver, and the customer cannot match the delivery to its order. Setting a POD standard before the vehicle leaves can reduce this kind of delay.

What POD should confirm

POD means proof of delivery. It can take the form of a CMR note acknowledged on receipt, a warehouse document or an appropriate electronic record. There is no single universal form for all B2B carriage. What matters is the ability to identify the delivery and the arrangements agreed with the customer.

A signature alone does not explain what was received. The document should link the consignment, place, time, consignee and quantity of goods delivered. For a partial unloading, it must show how much was delivered at that location and what remained in the vehicle. A GPS record demonstrates the vehicle's presence but does not, by itself, prove that particular pallets were handed over.

The “ideal POD” quick checklist

  • The order and document numbers match the correct consignment.
  • The place, date and time describe the actual handover of the goods.
  • The number and marks of the units match what was received.
  • The person and entity receiving the consignment can be identified.
  • Reservations, the signature and agreed attachments are legible.
  • The document contains every required page and has been filed against the correct order.

A missing stamp does not automatically make a delivery invalid. However, if the customer has agreed a particular document standard, it must be met or an acceptable alternative confirmed. [1]

Exception handling in three scenarios

1. The consignee refuses to sign

Establish the reason and contact the dispatcher. Record whether the goods have already been handed over, to whom and in what quantity. The dispatcher should obtain confirmation from a verified consignee contact, such as a warehouse receipt or a message identifying the delivery. A delivery booking alone confirms the plan, not its completion. The driver must not sign on the consignee's behalf.

2. The signature is illegible or the stamp is missing

While still on site, ask for a legible name or identifier and identification of the receiving entity. If the warehouse does not use the required stamp, the dispatcher agrees an alternative form of evidence. After the vehicle has left, retain the original document and a separate supplement from the warehouse. Do not paste a stamp or details into a signed scan.

3. A different person or warehouse receives the goods

Before handover, the dispatcher verifies the authority to receive the goods and any change of instructions with a contact known from the order. A logistics operator may validly receive goods on the consignee's behalf, but that relationship should be demonstrable. An address change should not rely solely on a message from an unknown person. Organising a 24- or 48-hour document workflow

One possible standard is prompt submission of POD after delivery, a completeness check within 24 hours and escalation of unresolved gaps within 48 hours. These are internal deadlines, not obligations under CMR. Damage or a dispute about receipt must be reported immediately.

The driver gathers the material, the dispatcher handles exceptions, and a designated document owner checks the record and passes it to the billing team. Measure the time to obtain correct POD and the percentage of complete document sets accepted without corrections.

Under Polish tax rules, a missing POD does not automatically postpone the statutory deadlines for issuing an invoice. Accounting must be informed that the service has been performed even if the customer's document package still needs to be completed. Contractual requirements and tax rules must be considered separately. [2]

POD and claims

A signed acknowledgement does not rule out every subsequent damage claim. CMR treats apparent damage, non-apparent damage, joint inspections and delay differently. This is why the consignee's remarks and the scope of the inspection must be preserved, rather than only a “delivered” status. [1, Article 30]

FAQ

Are CMR and POD the same thing?

A CMR note with an acknowledgement of receipt can serve as POD. A note made out at loading alone does not yet prove delivery.

Is a photograph sufficient for settlement?

It may be a useful copy, but acceptance depends on the document's content and the agreed requirements. A photograph of goods outside a warehouse does not automatically replace proof of receipt.

Does a carrier lose the right to payment without POD?

That does not follow automatically from the missing document alone. Performance of the service, the contract and other evidence must be assessed.
